After this year, GFS will be re-evaluating the relationship and decide if they want to re-up for another couple of years. In past years, that's covered all of our food expenses, but last year it only just covered. If we grow organically (say, add 10 actual attendees to last year's ~30), we should be OK, though we may have to do some shopping around to see if we can get any better deals on the subs/pizzas. I'm pretty certain Dan is out this year, so we'll need to find another sponsor for the Friday night social. Dave pretty much nailed the list of supplies, though I think Casey can help out with some (whiteboards) and other people may be able to donate the others. The one expense I'd add would be printing for advertising. I've covered that cost in the past, but my wallet would be happy to let others pitch in :-) One other idea is to simply have a community pot that companies/individuals could donate to (microdonations) and we'll use to cover expenses that don't have a specific sponsor. The problem would be what to do with money that isn't used by the end of the conference. I can do some digging to see how other BarCamps have handled that. Checking that specific page, it looks like the only thing missing is the badges, which are in a Word doc. All of the SVG files were originally generated in Inkscape, which is an open source vector illustration app, but they could also be easily opened in Adobe Illustrator. If you do make changes, the main things I'd ask: 1) Re-post your changed files to the barcampgr.org wiki. 2) Stick to open file formats; try to stay away from PSD (Photoshop) or AI (Illustrator) file formats, just for compatibility. I used a Word doc for the badges, but it should probably be converted to an OpenOffice doc at some point in time. If you're logged into the barcamp.pbwiki.com site (the password is c4mp), you can view all the Barcamp files at: http://barcamp.pbwiki.com/upload.php All of our files start with "barcampgrandrapids". For example, I found the badges file just by scanning through the list: http://barcamp.pbwiki.com/f/barcampgrandrapids2-badges.doc One other thing that I'd recommend for any changes to the badges: we should keep in mind the ideas Mike Davidson laid out for a better conference badge here: http://tinyurl.com/2a6v7k Kyle From dave at brondsema.net Wed Apr 23 15:53:30 2008 From: dave at brondsema.net (Dave Brondsema) Date: Wed Apr 23 15:49:54 2008 Subject: Fwd: [Barcamp-organizers] Conference Badges In-Reply-To: <480F557F.2F65.0052.0@gfs.com> References: <469C951F.6F65.0052.0@gfs.com> <1BAA77C18160E14CBDF66C8369EDAFDB1B41658065@NVMBX01.nvint.local> <480F829E.7090806@brondsema.net> <480F557F.2F65.0052.0@gfs.com> Message-ID: <480F93BA.8000401@brondsema.net> One thing I don't like about his is, for our purposes, is that it says = "attendee". With that said, "speaker" vs. "attendee" is kinda missing the point. The point is to take the principles he outlines WRT usability and apply them to our own unique conference. Consequently our badges may differ in look and content from his example, but they should still use typography primed for large lettering and long-distance legibility. Anything extraneous (e.g., the name of the conference; if you ended up here and don't know it's a BarCamp, you've got bigger problems than a badge can solve) should be minimized or removed all together. So on and so forth. Will this be helpful? This is something we really want to be involved in but we are making some changes right now and need to be cautious with our spending. Sending me an invoice for $200 would be the easiest way for us to get you the money. Also, are you a non-profit? If you are could we get a receipt so we could write-off this expense? Thanks for this opportunity. We are excited to be involved. ------------------------------ Kate Howell Elevator UP - a Web Hosting Company web: www.elevatorup.com -------------- next part -------------- A non-text attachment was scrubbed...
